Craft show vendor agreement template

This agreement is between [Organizer name] ("Organizer") and the vendor named below ("Vendor") for [Event name] on [dates] at [venue and address].
1. Booth and assignment
- Vendor is assigned booth [number/size]. The Organizer may change booth locations when needed to run the event safely or fairly.
- Booths may not be shared, subleased or transferred without written approval.
2. Fees and payment
- Booth fee: $[amount], due by [date]. A booth is not reserved until paid.
- Application fees are [refundable / non-refundable].
3. Cancellations and refunds
- If Vendor cancels by [date], Organizer will refund [amount or %]. No refunds after that date.
- If the Organizer cancels the event, Organizer will [refund booth fees in full / credit a future event / other].
- Weather: the event is [rain or shine / weather permitting]. [Describe what happens if the event is shortened or closed for weather or safety.]
4. Setup, hours and teardown
- Setup: [times]. Booths must be fully set up by [time].
- Vendors must stay open for the full event hours: [hours]. Early teardown is [not permitted / permitted only with approval].
- Teardown: [times]. Leave the space clean; remove all trash and materials.
- Vehicles: [unloading and parking rules].
5. What may be sold
- Vendor will sell only the products described in their accepted application.
- [Handmade-only rule, resale rules, and any prohibited items.]
- Food vendors must hold and display any required permits.
6. Canopies, displays and safety
- Outdoor canopies must be secured with at least [weight] per leg, attached to the frame.
- Displays, cords and signs must stay within the booth and not block aisles or exits.

7. Insurance and liability
- Vendor is responsible for their own merchandise, equipment and cash.
- Vendor [must / is encouraged to] carry general liability insurance and provide a certificate naming [Organizer and venue] as additional insured by [date].
- Vendor agrees to be responsible for claims arising from Vendor's products, booth or conduct, to the extent permitted by law.
8. Taxes and permits
Vendor is responsible for collecting and paying any sales tax on their sales and for holding any permits or registrations required where the event is held.
9. Conduct
- Vendors will treat shoppers, other vendors, volunteers and staff respectfully.
- The Organizer may remove a vendor for safety issues, selling unapproved items or conduct that disrupts the event, [with / without] refund.
10. Photos and promotion
The Organizer may photograph booths and products at the event and use those photos to promote the event. [Describe any opt-out.]
